GeoTab Credentials

Setting up the GeoTab integration requires the user to have an existing GeoTab account. The same Username (email) and Password used to log into the GeoTab portal is used to set up the integration on Alvys.

Setting up the Integration

In order to use the GeoTab integration it must be configured in Alvys using your GeoTab login credentials.

Navigate to the Management page by clicking the profile icon located at the upper right corner, then select Management.

On the Management page, select the correct subsidiary from the left, then click the “Integrations tab”.

Expand the ELD section of the integrations list and click the crayon icon from the GeoTab integration box:

This will open a dialog box where you will be prompted to enter your GeoTab Username and Password. Once those have been entered, click the Save button:

Assets Location Tracking

In this section you will add the GeoTab asset ID to your assets (trucks and/or trailers) within Alvys in order to enable location tracking.

Find the Assets option on the blue Alvys toolbar, then select either trucks or trailers (based on which assets you need to set up).

From the list of assets, find and double click the particular asset you are ready to add the asset id to. This will open the Edit Asset page.

On the Edit Asset page, scroll down to find the ELD Integrations section, then click the blue Add Integration button. The Add Integration pop-up window will appear.

This will open a dialog box where you will be prompted to enter your FleetLocate Username, Password and Token ID. Once those have been entered, click the “Save” button:

Asset Location Tracking

In this section you will add the FleetLocate Asset ID to your assets (trucks and/or trailers) within Alvys in order to enable location tracking.

Find the Assets option on the blue Alvys toolbar, then select either trucks or trailers (based on which assets you need to set up).

From the list of assets, find and double click the particular asset you are ready to add the asset id to. This will open the Edit Asset page.

On the Edit Asset page, scroll down to find the “ELD Integrations” section, then click the blue “Add Integration” button. The Add Integration pop-up window will appear.

In the Add Integration window, click the drop-down menu and select GeoTab.

Next, enter the GeoTab asset ID in the Integration ID field and click Save.

Repeat the 5 steps above for the remaining assets that will be using the GeoTab location tracking.

In order to locate your GeoTab asset id : Login to GeoTab and select “Vehicles & Assets” from the side bar.

Select the vehicle of choice and copy the asset id (only the portion that comes after “id:”) from the url. Ex: my.geotab.com/#########id:b6

Assets (trucks/trailers) that the GeoTab asset id was added to can be tracked from the Asset Map simply by searching with the name of the asset.

Drivers Hours of Service (HOS)

In this section you will add the GeoTab asset ID to your driver asset within Alvys in order to use the hours of service feature.

Find the Assets option on the blue Alvys toolbar, then select drivers.

On the right panel of the Driver details page, scroll to the ELD Providers section and click +Add ELD. The Add Integration pop-up window will appear.

Next, enter the GeoTab asset ID in the Integration ID field and click Save.

Repeat the 3 steps above for the rest of your drivers that will be using the GeoTab Hours of service feature.

In order to locate your GeoTab asset id:
Login to GeoTab
Select “Activity” >”HOS”>”Availability” from the side bar.

Select the driver of choice and copy the asset id (only the portion that comes after “id:”) from the url. Ex: my.geotab.com/#########id:b6

Next, enter the GeoTab asset ID in the Integration ID field and click Save.

The hours of service feature can be accessed from the Dispatch planner page and the Load Details Page by selecting the time displayed for the driver.

IFTA Mileage

If a truck has their GeoTab asset ID associated, you will be able to choose their respective ELD as the source for the IFTA miles. Please keep in mind that the end and beginning of the quarter will be considered based on the Subsidiary physical address.

Ex: If the subsidiary of the truck has a physical address where Pacific Time with Dailight savings is observed, the miles will be requested from Geotab with the respective offset:
Q1 2023: from 01/01/2023 08:00:00 UTC to 01/01/2023 06:59:59 UTC
Q2 2023: from 04/01/2023 07:00:00 UTC to 07/01/2023 06:59:59 UTC
Q3 2023: from 07/01/2023 07:00:00 UTC to 10/01/2023 06:59:59 UTC
Q4 2023: from 10/01/2023 07:00:00 UTC to 01/01/2024 07:59:59 UTC
